How we handle your information. Last updated 23 October 2026.
Qibby Tech Services ("we", "us") is registered in Malaysia under SSM number 202503214464 (RA0127307-P). This policy explains what we collect, why, and what we do not collect, under the Personal Data Protection Act 2010 (PDPA).
What we collect when you contact us
We keep it to the minimum we need to help you:
- Your phone number or WhatsApp name, so we can reply to you
- The area you are in, so we can point you to the nearest meetup location on our locations page
Anything else you choose to send in the chat, such as a photo of your card, is used only to answer your enquiry.
Commercial orders and invoices
For bulk and commercial orders we also need the details to quote, invoice and deliver: company name, contact person, billing and delivery address, email and any purchase order number. We use these only to prepare your quotation and invoice and to deliver your order.
What this website collects
Apart from the AI chat assistant described below, this site has no form that submits to a server and no advertising pixel. The enquiry forms build a WhatsApp message in your own browser and open it in WhatsApp. The details you type in them never reach our servers.
Our web server keeps standard access logs (IP address, timestamp, requested page, browser user agent) for security and troubleshooting. These are retained for a short period and are not used to profile visitors. The site is delivered through Cloudflare, which processes connection data as part of providing that service.
Cookies
Cookies are small text files a website stores in your browser. We use Google Analytics to understand how many people visit, which pages they read, roughly where they are (country and city level) and which buttons, such as WhatsApp, they tap. Google Analytics does not tell us who you are, and we do not use it for advertising. It sets these cookies:

We do not use advertising, retargeting or social media tracking cookies. Separately, your browser remembers your light or dark theme choice on your own device. It is never sent to us.
Your choice. You can block or delete cookies at any time in your browser settings, use a content blocker, or install Google's opt-out add-on. The website works normally without them.
AI chat assistant
The chat button on this website opens Qibby AI, our AI assistant. When you use it, the messages you type and any photo you attach are sent to our server and to our AI service provider, which writes the reply. Photos are used only to answer you and are not stored by us. We keep the text of chats for up to 90 days so we can check and improve the answers, then it is deleted automatically. We do not keep your IP address in the chat records, only a scrambled code used to stop abuse.
Please do not type card numbers, IC numbers, passwords or bank details into the chat. Answers from the AI are a guide: prices and card checks are confirmed by our team on WhatsApp. You can skip the chat and WhatsApp us directly at any time.
Access card data
When we duplicate a card, the credential identifier is read into our equipment to write the copy and cleared afterwards. We do not maintain a database of customer card numbers, and we cannot reproduce your card later from our records. If you need another copy, bring the card again.
How we use your information
Only to answer your enquiry, arrange your meetup or delivery, and invoice commercial orders. We do not sell it, rent it or share it for marketing.
Who we share with
Only where it is necessary to deliver what you asked for, for example a courier for a bulk delivery, or our AI service provider when you use the chat assistant. We do not transfer personal data outside Malaysia except through the ordinary operation of the messaging, analytics, AI and hosting services named here.
Retention
WhatsApp conversations remain in our message history unless deleted. Invoices and order details for commercial customers are kept with our business records. AI chat text is deleted after 90 days. Google Analytics keeps visit data for no more than 14 months.
